President
According to By-Laws:
The president shall preside at all meetings of the association and of the board; shall appoint standing committee chairmen subject to the approval of the officers of the association; shall be a member ex-officio of all committees except the nominating committee; shall coordinate the work of the officers and committees of the association in order that the Objects may be promoted.
In addition, the President:
- Schedules and facilitate PTA meetings.
- Incorporates and follow "Robert's Rules of Order" during the PTA meetings.
- Compiles the meeting agenda and forward to Secretary.
- Writes promotional material for PTA activities.
- Discusses PTA activities and benefits during Back to School Night.
- Meets with the principal to plan PTA activities.
- Works with the treasurer to define financial and check writing procedures.
- Works with PTA officers to develop policies and procedures for PTA events and programs.
- Provides an update during PTA meetings.
Co-Vice Presidents
According to By-Laws:
The vice-presidents shall act as aids to the president and shall in their designated order perform the duties of the president in the absence or inability of that officer to act.
In addition, the Vice Presidents:
- Work with PTA President on PTA programs, events and matters.
- Ensure that the meeting agendas and minutes reflect the needs, goals, and accomplishments of the PTA programs.
- Assume the role of President in the absence or resignation of President.
- Oversee PTA fundraising activities.
- Provide an update during PTA meetings.
Treasurer
According to By-Laws:
The treasurer shall have custody of all funds of the association; shall keep a full and accurate account of receipts and expenditures; shall be responsible for the maintenance of such books of account and records as conform to the requirements of Article IV, Section 10, of these bylaws; in accordance with the budget adopted by the association, shall make disbursements as authorized by the president, the board or the association; shall present a financial statement at every meeting of the association and at other times when requested by the board; and shall make a full report at the meeting at which new officers officially assume their duties. Checks shall be signed by two officers.
The treasurer's accounts shall be examined annually by an auditor or an auditing committee of not less than three members. A check signatory may not be the auditor or a member of the auditing committee. The auditing committee shall be selected by the board at least two weeks before the meeting at which new officers assume duties. The auditing committee shall present its report for adoption at the first regular board meeting of the year.
In addition, the Treasurer:
- Prepares the annual budget with assistance from the PTA members, officers and chairpersons.
- Prepares monthly Treasurer's Report for distribution during PTA meetings.
- Conducst, with PTA Officers and staff, annual audits of PTA finances.
- Works with hired accountant or tax professional to prepare the annual IRS tax reporting.
- Keeps canceled checks, paid bills, receipts, and bank statements for annual audit.
- Makes disbursements as authorized by the president, executive board, or association in accordance with the budget adopted by the association.
Secretary
According to By-Laws:
The secretary shall record the minutes of all meetings of the association and of the board, shall have a current copy of the bylaws, and shall maintain a membership list.
In addition, the Secretary:
- Works with the President to compile and distribute monthly PTA agendas.
- Takes meeting minutes at each PTA meeting and distributes them to members.
- Posts PTA monthly meeting announcements in the school.
- Provides and records monthly sign-in sheets. Distributes record to the President and the Membership Chairperson.
- Provides an update during PTA meetings.
